Privacy Policy
How Poultry Pro Farm Supplies Inc. collects, uses, discloses and protects personal and business information — under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Poultry Pro Farm Supplies Inc. (“Poultry Pro”, “we”, “us” or “our”) respects the privacy of the businesses and people we work with. This policy explains what personal information we handle when you visit poultrysupplies.ca, request a quote, enroll in SmartStock, or contact us, and the choices you have. We follow the ten fair information principles set out in PIPEDA.
1. Who this policy applies to
This policy applies to personal information about our customers, business contacts, prospective customers, website visitors and suppliers that Poultry Pro collects in the course of operating the company. It does not apply to third-party websites we may link to, which have their own privacy practices.
Poultry Pro is accountable for the personal information under its control, including information transferred to third parties who perform services on our behalf. Our owner, Waqas Ahmed Khan, is responsible for overseeing our compliance with this policy.
2. What personal information we collect
We only collect information we need to quote, supply and deliver to your operation. Depending on how you interact with us, this may include:
- Business contact details — name, farm or business name, email address, phone number, and delivery address.
- Order & account details — products requested or ordered, SmartStock reorder thresholds, delivery route and schedule, and order history.
- Billing details — for wholesale or account customers, the contact and payment information needed to invoice your business.
- Correspondence — quote requests, enquiries and any details you share about your operation's supply needs.
- Website and technical data — basic, non-identifying information such as pages viewed and general device or browser type, where applicable (see Cookies & analytics below).
We do not collect information about your animals' health or veterinary records, and we do not sell your personal information.
3. How we use your information
We use personal information for purposes a reasonable person would consider appropriate to running a supply and distribution business, including to:
- respond to enquiries and prepare quotes;
- fulfil, pack and deliver orders, whether one-off or on a scheduled route;
- administer SmartStock accounts, reorder thresholds and delivery routes;
- invoice wholesale and account customers;
- send you information you have asked for and, where permitted, occasional product or service updates; and
- meet our legal, tax and record-keeping obligations.
We identify the purposes for which information is collected at or before the time of collection. If we ever want to use your information for a new purpose, we will ask for your consent first.
4. Business & account information
Because most of our customers are businesses, we collect the contact and order information needed to serve the account — typically a contact name, farm or business name, delivery address, and product or SmartStock preferences. Order and account information is shared with the registering contact for that account, not published or shared publicly.
5. Consent
We collect, use and disclose personal information with the knowledge and consent of the individual or business contact providing it, except where the law permits or requires otherwise. By requesting a quote, enrolling in SmartStock, or sending us an enquiry, you consent to us using the information provided for the purposes described above.
You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details below. Withdrawing consent may mean we can no longer continue supplying or communicating with your business.
6. When we disclose information
We do not sell, rent or trade personal information. We may share it only as needed to run the business or as required by law, for example with:
- delivery drivers or logistics partners fulfilling your order or route;
- payment processors, accountants and other service providers who act on our behalf under confidentiality obligations; and
- authorities or advisors where disclosure is required or permitted by applicable law.
When we engage service providers, we use contractual or other means to provide a comparable level of protection while the information is being processed on our behalf.
7. How long we keep it
We retain personal information only as long as necessary to fulfil the purposes for which it was collected and to meet legal, accounting and tax requirements. When information is no longer needed, we securely destroy, erase or anonymise it.
8. How we protect it
We protect personal information with safeguards appropriate to its sensitivity, including limiting who can access account and order records and using secure handling of digital records. No method of transmission or storage is completely secure, but we work to keep our safeguards current.
9. Accuracy, access and correction
We keep personal information as accurate, complete and up to date as necessary for the purposes for which it is used. A business contact may ask what personal information we hold about their account, how it is used, and request a correction. We will respond within a reasonable time and, where a request is refused, explain why. We may need to verify your identity before acting on a request.
10. Cookies & analytics
This is a lightweight, largely static website. It does not require you to create an account or accept tracking cookies to browse. The contact form does not transmit data to our servers — when you submit it, it simply opens a pre-filled message in your own email application, which you then choose to send. If we introduce optional analytics or cookies in future, we will update this policy and, where required, seek your consent.

12. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or the law. The current version is always posted on this page with its effective date. Material changes will be highlighted where appropriate.
